terms of service & participation waiver

Last Updated: 19 October 2026

These Terms of Service & Participation Waiver (“Terms”) apply to your use of Sol Society’s website, booking platform, memberships, class packs, classes, events and related services.

Sol Society is operated by ELME COLLECTIVE MANCHESTER LTD (“Sol Society”, “we”, “us” or “our”).

Business address: 1 Birchbrook Road, Lymm, WA13 9RR, United Kingdom

Website: www.solsocietystudios.uk
Contact: contact@solsocietystudios.uk

By creating an account, purchasing or booking a class, membership or class pack, or attending a Sol Society class, you agree to these Terms.

Our standard classes are for customers aged 18 and over.

1 . Bookings

Classes must be booked through the Sol Society booking system unless we specifically agree otherwise. Bookings are subject to availability.

It is your responsibility to ensure that the information associated with your account and booking is accurate and up to date. Your booking is personal to you and should not be transferred to another person without prior agreement from Sol Society.

2 . Customer Cancellations

We understand that plans change. If you need to cancel a class, you must cancel through the booking system at least 12 hours before the scheduled class start time in order to retain or have the applicable class credit returned to your account.

If you cancel less than 12 hours before the class begins, this will be treated as a late cancellation and the class credit will be lost.

Where you use a membership that provides a class allowance rather than individual credits, the cancelled class may still count towards your applicable allowance.

We recommend cancelling as soon as you know you are unable to attend so that another customer has the opportunity to take the space.

3 . No - Shows

If you book a class and do not attend without cancelling within the permitted cancellation window, your class credit will be lost. A no-show will also be noted against your account.

Repeated no-shows may result in Sol Society contacting you regarding your bookings and, where reasonably necessary to protect class availability for other customers, restricting your ability to make future bookings.

We ask that you cancel whenever you know you cannot attend, even where the cancellation falls within the late-cancellation period.

4 . Arriving for Class

We strongly recommend arriving at least 10 minutes before your class begins. This gives you enough time to check in, get settled and prepare safely for the session.

Customers arriving after the scheduled class start time may be refused entry.

At our discretion, entry may be permitted up to an absolute maximum of five minutes after the scheduled start time where the Instructor considers that it is safe and reasonable to allow you to join.

The five-minute period is not a guaranteed grace period.

If the Instructor believes that joining after the class has started would be unsafe - including because you have missed an important warm-up, safety briefing or class instruction - you may be refused entry even if you are less than five minutes late.

For safety and to avoid disruption to other customers, nobody will be admitted more than five minutes after the scheduled class start time.

Where entry is refused due to late arrival, the booking may be treated in the same way as a late cancellation or no-show and the class credit may be lost.

5 . Waitlists

Where a class is full, you may have the option to join a waitlist.

If a space becomes available, customers on the waitlist may be automatically moved into the class through our booking system. If you join a waitlist, you are responsible for monitoring your booking status and relevant email, SMS and/or app notifications.

Once you have been moved from the waitlist into a class, the normal cancellation policy applies.

If you no longer wish to attend, please remove yourself from the waitlist as soon as possible.

6 . Sol Society Class Cancellations

Occasionally, Sol Society may need to cancel, reschedule or change a class due to Instructor availability, insufficient bookings, operational requirements, safety concerns, events outside our reasonable control or other circumstances.

If Sol Society cancels a class, any applicable class credit used for that booking will be returned to your account.

Where appropriate, we may also offer an alternative class.

We will make reasonable efforts to notify affected customers as soon as practicable using the contact information associated with their account.

7 . Memberships

Sol Society may offer recurring memberships with different class allowances, benefits and prices.

The specific price and inclusions of your membership will be displayed at the time of purchase.

Unless the terms of a particular membership state otherwise, memberships may be cancelled at any time by providing notice through the Sol Society booking system.

Cancellation will stop future membership renewals in accordance with the cancellation instructions and timing displayed within the booking system.

Cancelling a membership does not ordinarily create a right to a refund for membership fees that have already been properly charged, except where required by law or expressly agreed by Sol Society.

Any specific promotional, introductory or membership terms shown to you at the time of purchase will also apply.

8 . Class Packs and Credits

Sol Society may sell individual classes and class packs.

Each class pack will clearly state its validity or expiry period at the time of purchase.

Class packs will have a validity period of at least 28 days, although particular packs may provide a longer period.

You are responsible for using your class credits before their stated expiry date.

Unused or expired credits are not ordinarily refundable, transferable or extendable unless expressly stated otherwise, agreed by Sol Society in exceptional circumstances, or required by law.

9 . Prices and Payment

Prices for classes, memberships, class packs, events and other services will be displayed through our website or booking platform.

Payment may be processed through Mariana Tek / Xplor and associated payment service providers.

You are responsible for providing accurate and current payment information.

Where a membership or other product renews automatically, the applicable recurring price and frequency will be presented to you when you purchase it.

We reserve the right to change prices for future purchases or future membership periods. Where a price change affects an existing recurring arrangement, we will provide any notice required by applicable law and the applicable membership terms.

10 . Refunds

Purchases are generally non-refundable, except where required by law or where Sol Society expressly agrees otherwise.

Nothing in these Terms limits or excludes any consumer right that cannot lawfully be excluded.

Where Sol Society cancels a class booked using a class credit, the applicable credit will normally be returned to your account in accordance with Section 6.

11 . Health, Injuries and Pregnancy

Your safety is important to us.

Before participating in a class, you must disclose any current injury, pregnancy, health condition or other relevant circumstance that may reasonably affect your ability to participate safely.

You should update us and, where appropriate, your Instructor if your circumstances change.

Our Instructors may provide modifications or alternatives where appropriate, but they are not medical professionals acting in a medical capacity and cannot diagnose conditions or determine whether exercise is medically appropriate for you.

If you are pregnant, injured, returning to exercise following illness or injury, have a medical condition, or have concerns about your ability to participate safely, you should obtain appropriate advice from a qualified healthcare professional before participating.

An Instructor may ask you to modify or stop an exercise, or may decline to allow you to participate, where they reasonably believe continuing could present a safety risk.

12 . Participation and Assumption of Risk

Physical exercise, including Pilates, barre and other movement classes, involves inherent risks.

These may include muscular soreness, strains, sprains, falls, aggravation of existing injuries and, in rare circumstances, more serious injury.

By choosing to participate, you acknowledge the ordinary risks associated with physical exercise and agree to:

  • participate responsibly and within your own capabilities;

  • follow reasonable safety instructions provided by your Instructor;

  • inform your Instructor if you experience pain, dizziness, unusual shortness of breath, illness or other concerning symptoms;

  • stop participating where you believe it is unsafe to continue; and

  • use equipment only as instructed.

You remain responsible for deciding whether you are physically able to participate and for obtaining appropriate medical advice where necessary.

Nothing in these Terms excludes or restricts liability where doing so would be unlawful, including liability for death or personal injury caused by negligence where liability cannot legally be excluded.

13 . Studio Conduct

We want Sol Society to be a welcoming, respectful and safe environment.

Customers are expected to behave respectfully towards Instructors, staff and other customers and to follow reasonable studio and safety instructions.

Harassment, threatening behaviour, discrimination, deliberate damage, unsafe conduct or behaviour that materially disrupts another customer’s experience will not be accepted.

Sol Society reserves the right to ask someone to leave or, where reasonably justified, restrict future access to the studio where serious or repeated behaviour places people, property or the studio experience at risk.

14 . Personal Belongings

Please take reasonable care of your belongings while visiting Sol Society.

To the extent permitted by law, Sol Society cannot accept responsibility for loss, theft or damage to personal belongings unless caused by our negligence or where liability cannot legally be excluded.

15 . Photography and Video

From time to time, Sol Society may wish to take photographs or video within the studio for social media, marketing or promotional purposes.

Where you may be identifiable and consent is appropriate, we will ask for your permission before using that content.

You are free to decline to be photographed or recorded.

Other customers and Instructors must also respect the privacy of people within the studio when creating their own content.

16 . Website, App and Booking Platform

Our booking and customer-management services may be provided through Mariana Tek / Xplor and associated technology providers.

Although we aim to provide reliable access, websites, apps and third-party technology may occasionally experience interruptions, maintenance or technical problems.

If a technical issue affects a booking or purchase, please contact contact@solsocietystudios.uk and we will make reasonable efforts to assist.

The uses and restrictions described in this section apply specifically to health and fitness data accessed through this feature.
